### What is Captisa Forms?

**Captisa Forms** is an online form builder with database storage. Create free online forms with sub-forms, workflows, conditional logic, duplicate detection rules, multi-level select, lookup, repeating panels, tabs, and accordions.

Create views and filters, then use them to analyze your data through charts or pivot grids and present them in the dashboard.&#x20;

# Dashboards

Captisa Forms **dashboard** is an information management tool that visually tracks, analyzes, and displays key performance indicators (KPI), metrics, and key data points to monitor the health of a business, department, or specific process. They are customizable to meet the specified needs of a department and company.

### Create Dashboard

1\. Go to `Settings`

# Duplicate Rules

To maintain the integrity of your data, it’s a good idea to have rules in place to reduce duplicate records in the system.

### Create a duplicate detection rule

1\. Go to Form explorer.

2\. Select the form you want to create the duplicate rule for, then click on `Rules` -> `Duplicate Rules` menu item from the toolbar.

# Filters

### What does a filter do?

Apply **data filters** to view select records. Filtering is a helpful way to see only the data you want to be displayed. You can use filters to display specific records in the data entries. For the users to have options for different filters of form data, a drop-down list of filters is displayed in the application. The records that are visible in individual views are displayed in a list, sometimes called a grid, which frequently provides options so that users can change the default sorting, column widths, and filters to see the data that's important to them more easily.&#x20;

**Filters** also define the data source for lookup records, charts, pivot grids, and the dashboard that are used in the application.

### Create a filter

1\. Go to form explorer.

2\. Select the form you want to create the form rule for, then click on the Filter item from the toolbar.

# Form Availability

### Configure form availability

1\. Go to form explorer.

2\. Select the form you want to configure availability and wait for the settings form to load.

3\. By default, all forms are public. To make the form private, toggle the ‘Form Availability’ button.

4\. To limit the number of form entries, enter a number in the ‘Submission Limit’ field and create a message for the user.

**Note:** The message will be shown to the user when the submission limit has been reached.

5\. To enable form submissions on a specific time frame, enter start and end dates, and create a message to the user.

# Form Rules

### Apply form logic through form rules

You can create form rules and recommendations to apply form logic without writing JavaScript code. Form rules provide a simple interface to implement commonly used rules. By combining conditions and actions, you can do the following with form rules:

* Set field value based on a formula, a value from another field, and a constant value.
* Clear field values.
* Make the field required.
* Show or hide fields.
* Enable or disable fields.
* Validate data and show error messages.
* Change field instructions.

### Create a form rule

1\. Go to form explorer.

2\. Select the form you want to create the form rule for, then click on the ‘Rules -> Form Rules’ menu item from the toolbar.

The form rule designer opens with a single condition and action created for you. The form rule takes one or more actions based on that condition.

# Form Templates

### Create a form using template

1\. Go to form explorer.

2\. Click on the new button.

# Payment

Accept direct credit card payments from all major credit card companies, including Visa, MasterCard, Discover, and American Express.

#### To set up credit card payments <a href="#undefined" id="undefined"></a>

1\. Go to form settings.

2\. Click on Enable Payment button and then connect your Stripe account with your Captisa Form account.

3\. Once your Stripe account is connected with your Captisa Forms account, go back to form builder.

4\. Add Checkbox, Dropdown, Multiple Choice, or Money control to your form.

5\. On the property tab, check ‘Billable.'  You have the option to assign a price, allow the user to update order quantity, or set if the product is taxable.

6\. Add Credit Card control into the form. You have the option to specify email, billing, and shipping information.

# Password Protected Forms

1\. Go to form settings and check ‘Password Protected.’

2\. Type form password.

# Pre-Populating Form Fields

Auto-populate field values more easily using Prefill Manager. You do not have to be in developer’s mode, know the field names, or update the form’s URL, our Prefill Manager takes care of all of that for you. Best of all, you have the option to tag and save the form values for future reference.

### Prefill a form

1\. Go to form explorer.

2\. Select the form you want to configure prefill, click on prefill button, and wait for the form to load.

4\. Click the cog button on the right side of the screen.

5\. Click Copy URL or preview the form, or tag and save current form values for future reference.

# Pivot Table

Captisa Forms Pivot Grid allows you to create a pivot table for multi-dimensional data analysis. Using the Pivot Grid, large amounts of data can be summarized and represented in a cross-tabular format that can be sorted, grouped, and filtered. You can customize the layout of the report based on their analysis requirements using simple drag-and-drop operations. The Pivot Grid also supports drill-down (to view the underlying data for calculated cells), exporting, and data visualization.

### Create Pivot Grid

1\. Go to form explorer.

2\. Select the form you want to create pivot grid, click on the pivot grid button, and wait for the pivot grid form to load.

3\. Define Pivot Grid.

1. **Filter** – Specify which filter definition must be used for the pivot grid.
2. **View** – Specify which view definition must be used for the drill-down grid.
3. **Field Panel** – The field panel allows you to manage the displayed data. All you have to do is drag and drop items from Fields to Rows, Columns, or Data panels.
4. **Chart Type** – Select chart type so data can be displayed in a meaningful way. Captisa charts support side-by-side bar, stacked bar, full stacked bar, line, spline, step line, area, spline area, pie, and a doughnut.
5. **Palette** – Change the color palette for the chart by selecting a pre-defined palette.
6. **Legend Position** – The Chart can include a legend – an explanatory component that helps you identify a series. Each series is represented by an item on a Legend. An item marker identifies the series color.
7. **Load** – Load or refresh pivot grid.
8. **Drill Down to the Underlying Data** – The Chart can include a legend – an explanatory component that helps you identify a series. Each series is represented by an item on a Legend. An item marker identifies the series color.

#### Drill Down to the Underlying Data

A pivot grid cell value is a summary calculated against a data field for a subset of records. Click on the cell to view underlying data in a grid view.

# Thank You Page

A ‘Thank You,’ or confirmation message, is displayed after a user fills out your form. A typical success message tells your customers that their message has been sent successfully and when they’ll receive a response from you.

### To change the ‘Thank You’ message

1\. Go to form explorer.

2\. Select the form with the confirmation message you want to change, click on the Settings button, and wait for the settings form to load.

3\. On the message section, change the message that you want your user to see after filling out the form.

### To change form theme

1\. Go to form explorer.

2\. Select the form with the theme you want to change, click on the preview button, and wait for the preview form to load.

# Views

Use views to define how a list of records for a specific form is displayed in the application. A view defines:

* Columns to display
* How wide each column should be
* How the list of records should be sorted

# Word Template

After creating and importing Office Word templates into Captisa Forms, users can automatically, with one click, generate standardized documents populated with data or send them as attachments to emails. This feature has some special considerations you should know about to create Word templates successfully.&#x20;

#### Step 1: Create a Word Template

1\. Go to form entries.

2\. Click on Word Template > Download Template.

#### Step 2: Enable the Developer Tab

1\. Open the Word template file. At this point, the document appears to be blank.

2\. Go to File > Options > Customize Ribbon, and then enable Developer.

3\. Click OK.

The developer now appears in the Word ribbon.

1\. In your Word template, click Developer > XML Mapping Pane.

Your form might have a repeating section. For example, a student can have more than one emergency contact. To include all the data in your Word template, set the content control field to repeat.

**Set form fields to repeat**

1\. Put the form fields with repeating data in a table row.

2\. Select the entire table row in the table.

#### Step 4: Upload the Word template back

When you have your Word template built the way you want, save it so you can upload it into Captisa Forms Cloud.

1\. Go to form entries.

2\. Click on Word Template > Upload Template.

3\. Select your Word template.

4\. Click Open.

You are now ready to view or download a document.

1\. Go to form entries.

2\. Select the Word Template.

3\. Click Word or PDF to download the document or View it.

It is easy to attach generated PDF documents to the email.

1\. Create a Workflow with an action of Send Email.

2\. In the Attachments field, select one (1) or more Word templates.

1\. Go to form explorer.

2\. Select the form you want to configure workflow, and wait for the workflow form to load.

4\. Select triggers. A trigger is an event that starts your workflow.

6\. Add action. Select ‘Send Email’ or ‘Update Field Values’ as the action.

**Note:** You can add one (1) or more actions. An action could be sending an email to people in your organization, sending an email to your respondent, or updating fields value.

7\. Compose your email.

* **From** – Select an item from the ‘From’ list.
* **To** – Select email from the ‘To’ list.
* **Enter email subject**
* **To include an entry in the email** – Click on the ‘Form Data’ button.
* **To reference a field in the email** – Click on the ‘Form Fields’ button and then select a field from the list.

# Data API

Captisa Forms Data API provides a development experience that can be used across a wide variety of programming languages, platforms, and devices. The purpose is to let you get your form entries and use them whenever you see fit.

Captisa Forms API is a simple and powerful web service based on REST. It exposes your form entries via REST resources and the HTTP GET method. For example, you can query a set of fields from your form entries created today based on your View and Filter definitions. API supports JSON.

#### Getting Started

Below is an example to view form entries using PostMan.

1\. Select a form from the form list.

2\. Select the API button from the toolbar.

3\. Generate API token, then click the Copy button. Paste the token ID into your text editor.
